Terms of Service

Who we are

Scout Aid Pro is a product of Southern Scout, built and operated by TNW Limited, a company registered in New Zealand. Throughout these terms, "we", "us" and "our" refer to TNW Limited.

What the service does

Scout Aid Pro is a match capture and AI-assisted reporting tool for football. We provide software that helps users record match events — by voice or by hand — and generate opposition briefs and player scouting reports using artificial intelligence. The service covers association football only.

Your use of the service

By using Scout Aid Pro you agree to these terms. If you don't agree, please don't use the service. We may update these terms from time to time — continued use after changes means you accept the updated terms.

Licence and access

Access to the tools is granted through a licence key issued to you when you start a trial or subscribe. Your licence is personal to you or, on a club plan, to the named users at your organisation. You may not share, resell, publish or sublicense your key, and you may not copy, redistribute or reverse-engineer the tools or the instructions they run on.

You're responsible for keeping your key secure and for all activity under it. If a key is shared or published we may revoke it without refund.

Payments

There is no setup fee. Every plan begins with a free trial of two reports, which requires no payment details. Trial keys lapse if they are unused for 30 days; if yours lapses before you have had the chance to use it, email us and we will issue another.

After the trial, access is billed as a monthly subscription. Two plans are available: Scout at $79 USD/month for a single user, and Club & academy at $449 USD/month for up to ten named users at one organisation. Both plans include all seven tools — the opposition tool and the six position tools — with unlimited match captures. All prices are in USD and exclude any taxes that may apply in your country.

Each plan includes a monthly report allowance: 20 reports on Scout and 200 on Club & academy, counted per calendar month and reset on the first. Capture, export and printing are never limited and keep working after the allowance is spent. If you reach it, get in touch and we will sort it out.

You may cancel at any time and cancellation takes effect at the end of the current billing period. We do not provide pro-rata refunds for partial months. If you cancel, you may export every report you have generated before your access ends, and we will help you do so if you ask.

Payments are processed by Stripe. We never see or store your card details. Refund requests should be directed to hello@scoutaidpro.com.

Intellectual property

The Scout Aid Pro software, design, branding, and the reporting methodology and instructions behind it are owned by TNW Limited. Reports generated for you are yours — to keep, edit, publish and use commercially — but the underlying technology and method remain ours.

Termination

We may suspend or terminate access to the service if these terms are breached or if the service is discontinued. You may stop using the service at any time.

Liability

The service is provided "as is". To the fullest extent permitted by New Zealand law, TNW Limited's total liability is limited to the amount you have paid us in the 12 months preceding any claim. We are not liable for indirect or consequential losses.

Governing law

These terms are governed by the laws of New Zealand. Any disputes will be resolved in the courts of New Zealand.

Privacy Policy

What we collect

When you request a trial or contact us, we collect your name, email address, organisation (optional), what you scout, and your message. If you hold a licence we keep a record of your key, your plan, and a count of the reports generated under it. Match data you capture in the tool is sent to our servers only at the moment you generate a report, or — on the Club & academy plan — when you choose to save a capture to your club’s shared library. Library entries are stored on our servers so the rest of your staff can open them; removing an entry stops it appearing for your club. If your Club & academy plan ends, you can still download your entire library from the library page — cancelling never cuts you off from your own data.

How we use it

We use your information to respond to enquiries, provide the service, and improve Scout Aid Pro. We do not sell or share your personal information with third parties for marketing purposes.

Third-party services

We use a small number of third-party services to operate Scout Aid Pro:

Cloudflare — hosting, DNS, security and data storage. Brevo — transactional email delivery. Anthropic — AI processing for report generation. Stripe — payment processing.

Match data is passed to Anthropic at the point of generation so that your report can be written. We do not use your match data or your reports to train any model, and we do not share them with anyone else.

Each of these services has its own privacy policy. We only share the minimum data required for each service to function.

Data storage and security

Your data is stored securely using Cloudflare's infrastructure. We take reasonable measures to protect your information but cannot guarantee absolute security.

Your rights

You may request access to, correction of, or deletion of your personal information at any time by emailing hello@scoutaidpro.com. Under the New Zealand Privacy Act 2020, you have the right to know what personal information we hold about you and to request its correction.

Cookies

Scout Aid Pro does not use tracking cookies or third-party analytics. Cloudflare may set essential cookies for security and performance purposes.
